FINDING YOUR HOME

Once you’ve found a property you’d like to view, please reach out to our lettings team on 01603 870870 to arrange a viewing. Given the fast moving nature of the rental market, we often have pre-booked slots, so it’s best to call as soon as possible to secure your appointment.

When you call to schedule a viewing, you’ll be asked a few simple questions, such as your annual salary, your partner’s salary, whether you receive any benefits, and if you have a guarantor. Having this information ready will help streamline the process and ensure you’re able to move forward with the property if it’s a good fit. Rest assured, this is not an interrogation but a way to efficiently determine your suitability for the property and save you time.

how the process works

Making an Offer

Once you’ve found a property you’d like to rent, you can submit an offer, including any specific conditions, which we will present to the landlord for consideration.

If your offer is accepted, we will then ask for a holding deposit (typically equivalent to one week’s rent) whilst references are taken up and credit checks are undertaken.

Everyone over the age of 18 will need to be referenced and we engage the services of an independent third party referencing company for this purpose. This reference verifies your identity, conducts a credit check, and gathers relevant references from previous landlords.

All references are obtained on a strictly confidential basis, and tenants will not be entitled to any disclosure of this information.

In the unlikely event that the landlord withdraws the property from the market, your holding deposit will be fully refunded. If you withdraw from the tenancy or fail to pass the referencing process, the holding deposit will be retained.

We require photographic identification from all applicants to comply with the Right to Rent checks mandated by the Immigration Act 2014.

Once all credit and reference checks are completed, we will prepare a tenancy agreement for all parties to sign. You will need to pay your deposit and the first month’s rent two working days before your move-in date. Butterfly Lettings will then secure your deposit with the Tenant Deposit Service.

As long as there is no damage to the property, no breaches of the tenancy agreement, and all rent has been paid in full, your deposit will be returned in full at the end of the tenancy.

Before moving into the property, an inventory may be conducted, and you will usually receive a copy by email within three days of your move in date. Please review it thoroughly and inform us of any issues within seven days. You can confirm your approval by email or send us a signed copy via scan.

On your move in day, you’ll need to collect your keys from Butterfly Lettings, which is conveniently located in Eaton opposite Waitrose.

It’s important to inform the utility companies that you are now responsible for the bills and contact the local council to arrange payment of Council Tax. While the landlord is responsible for insuring the property, it’s recommended that you insure your personal possessions.

Now, all that’s left is for you to settle in and enjoy your new home!

Upon moving in, you will receive a welcome letter with contact details for any issues that may arise. If Butterfly Lettings manages your property, this letter will include the name and contact information of your Property Manager. If your landlord manages the property, their full contact details will be provided instead.

SUMMARY OF FEE’S PAYABLE BY TENANTS

Please be aware that your tenancy may be subject to the following fees. All charges include VAT at the current rate of 20%, but these amounts may change if the VAT rate increases.

For All Tenancies:

  • Holding Deposit: Equal to one week’s rent*.
  • Advance Rent: Less the holding deposit paid.
  • Security Deposit: Equivalent to 5 weeks’ rent.
  • Changes or Amendments to Terms During Tenancy requested by the tenant: £50.
  • Late Rent Payments: Charged once rent is 14 days overdue, at a rate of 3% above the Bank of England base rate, starting from the first day of arrears.
  • Lost Keys or Security Devices: Charged at the actual cost of replacement.
  • Early Release: If you request to end the tenancy earlier than the end date specified in the tenancy agreement (or in accordance with any break clause), your landlord is not obligated to agree to this request. However, if the landlord does agree, they may require you to reimburse them for any financial losses incurred as a result. This could include, but is not limited to, the equivalent of the letting fee already paid by your landlord to us, calculated on a daily rate from the date you wish to end the tenancy until the date you are contractually able to do so.

*This amount is payable once your offer for a property has been accepted. It will be deducted from the first month’s rent prior to your move-in. Please note that this holding deposit may be forfeited if you withdraw your offer, if the tenancy does not proceed due to the provision of misleading or incorrect information, or if your credit references are unsuccessful.
